Alerts tell you about critical issues that cause G3 RMS to not work optimally or not at all. Resolve all Alerts daily as part of your regular tasks.

When Are Alerts Triggered?

G3 RMS checks the conditions of most Alerts during nightly processingClosed Also known as Business Day End or BDE. The standard daily system update that runs during overnight hours after the end of the business day.. For the Unassigned Market Segment and Unassigned Room Type Alerts, it also checks during intraday processingClosed System updates that occur between nightly system updates. Also known as Current Day Processing or CDP. The number of daytime processings varies based on the selected subscription for the property..For the Out of Order Rooms Alert, it checks weekly.

Steps to Resolve

The details about an Alert provide instructions and links that direct you to other areas of G3 RMS, where you can investigate and correct the condition that caused the Alert. After you fix the issue, G3 RMS updates the Alert score after the next nightly optimization. If it finds that the issue is resolved, the score is set to zero, and the Alert State changes to Resolved. If the issue still remains, the Alert's score increases.

The table below describes each Alert, explains the conditions that trigger it, and provides you with steps to resolve it.

Booked Data Usage Started

This Alert follows the Sufficient Booked Data Available Alert. It tells you that G3 RMS started using Booked Room Type data in its optimizations on the displayed date.

Using the originally Booked Room Type data improves the system’s forecast and decisions. Because you could see significant changes, investigate forecast and decisions when you receive this Alert.

If you disagree with the forecast and decisions, leave the Alert unresolved and contact IDeaS support.

Review your forecast and decisions to understand the impact of the change to using Booked Room Type data.

When you are ready to resolve the Alert, select the checkbox to indicate that you reviewed the forecast and decisions.

Your options to resolve the Alert depend on whether your system currently is sending decisions:

Component Room OOO Not Updated

This Alert is available only for properties that use the Component Rooms module.

G3 RMS sees out of order data for physical room types that are part of component room types. If the physical rooms that are not available impact the availability of your component rooms, you need to review and, if needed, update the values in Out of Order Component Rooms.

Review the Details about the Alert to see the list of Occupancy Dates and physical room types for which the out of order values changed. Click the How do I action the Alert link to go to Out of Order Component Rooms. If needed, change the out of order values for component room types.

Complete Market Segments Recoding Information If your property is recoding market segments, this Alert means that you are ready for the third step in the process.
  1. Click the link and complete the Market Segments Recoding information.
  2. After you finish that, return to the Alert and confirm the completion so that IDeaS knows to start the next step.
Cost of Walk Requires Validation G3 RMS did not receive enough data to calculate the default Cost of Walk for the displayed rooms types and days of week. The system chooses the closest possible alternate data to calculate Cost of Walk for these room types to avoid zero values. Review and, if needed, update the Cost of Walk values for the affected room types and days of week in Cost of Walk Setup.
Create and Commit Forecast Groups Due to changes in the market segment setup you need to create and commit Forecast Groups.
  1. Click the link to Create and Commit Forecast Groups.
  2. When the process is finished, return to the Alert and confirm the completion.
Demand360 Data is not current The Demand360 data is not current. Outdated data might lead to inaccurate forecasts and decisions. If you subscribe to Demand360 data, G3 RMS triggers this alert if the last data file is more than 2 weeks old. Contact the Demand360 vendor and request that they provide IDeaS with an updated file.
Discontinued Room Type

The Alert warns you that a room type for which G3 RMS previously received data is no longer present in the most recent data file. This Alert is triggered when you delete, deactivate, or rename a room type in your Reservation SystemClosed The primary reservation system, like a PMS or CRS, that provides data to G3 RMS. The data from that one system is used by the RMS to forecast, optimize and produce controls. The controls are sent to all selling systems, which for some integrations may exclude the reservation system.. Use the Alert to tell G3 RMS how to handle the room type: either remove it, rename it, or move its capacity to another room type.

If you see this Alert, it means that G3 RMShas stopped processing data.
Resolve the Alert so that the system can continue processing.

  • If you indicate that you deleted the room type completely, without the capacity moved to another room type, G3 RMS removes the room type's capacity and rooms sold for future dates and doesn't use its historical data.
  • If you indicate that you renamed the room type or transferred its capacity to another room type, G3 RMS includes its past data with the new room type that you select to resolve the Alert, for data continuity.

You can view the historical data for discontinued room types in the Data Details tab of the Business Analysis Dashboard, the Rate Details for Rate Plan setup and Restriction Configuration, and the Data Extraction Report.

If impacted by this change, G3 RMS also disables Notifications and removes or renames the room types for evaluations.

We recommend following these steps for making changes to the room types in your PMS.

If you don't have access to resolve the Alert, contact your System CEO.

Under How do I action the Alert, complete all the steps:

  1. Click Tell G3 RMS what to do with the discontinued room types(s) to open the Discontinued Room Type Configuration window.
  2. Under Action Taken, select if the room type was:
    • Deleted/inactivated, overall capacity reduced
    • Renamed. Select the new room type name under New Room Types
    • Deleted/inactivated, capacity moved to other room types. Select the new room types, under New Room Types
  3. Click Resolve the Alert. If any setup is impacted by the room type change, a window lists what you need to change before you can resolve the Alert. For example, you need to change Room Type setup if the discontinued room type was set up as the run-of-house room type.
  4. After you resolve all the setup issues, return to Information Manager and select the Resolve the Alert checkbox. G3 RMS continues processing data files when the Alert is resolved.
Group Occupancy Forecast Override exceeds Total Physical Capacity This Alert is available only for properties that enabled Group Occupancy Forecast Overrides. The Alert warns you that a Group Occupancy Forecast Override exceeds the Physical CapacityClosed The total number of guest rooms at a property, including out of order rooms. at the property level. Use the link to change the Group Occupancy Forecast Override so that the value doesn't exceed the capacity.
Highest Optimization Decision Check Failed All days in the full optimization window are priced at the highest value. Because this might point to an issue with your pricing setup or with the pricing decisions, G3 RMS stopped processing and didn't upload any decisions.
For the highest price G3 RMS considers your pricing setup and Ceiling overrides, but not Specific overrides. And the highest price includes all lengths of stay if you use BAR by LOS pricing.

Tell G3 RMS if it can ignore the Alert and upload the decisions.

If you believe that your Rate Plan setup is appropriate and the decisions are not, open a case for IDeaS.

Important Limited Data Build Date is approaching

Your property is within seven days of one of the following:

Use the Forecast Investigator to verify that patterns are normal or that you are ready for the switch.
Inactivated Room Type G3 RMS found a room type in your Reservation SystemClosed The primary reservation system, like a PMS or CRS, that provides data to G3 RMS. The data from that one system is used by the RMS to forecast, optimize and produce controls. The controls are sent to all selling systems, which for some integrations may exclude the reservation system. data that you previously inactivated. If needed, reactivate the room types, for example, if this happened due to an extended renovation.

Tell G3 RMS how to handle the room types: 

  • Update the status of the room types to active, triggering a Sync flag. Then update related configuration, for example, mapping the room types to Room Classes.

  • Make no change to the status of the room types. Use this action if the room type was sent in error and you correct this in the reservation system. If the room type is still present after the next daily processing, the Alerts appears again.

Incomplete BAR Spectrum Your Rate Plan setup is incomplete. Because G3 RMS prices at the Room Class level, the system needs at least one rate value that is set up for the entire Forecast WindowClosed The Forecast window defines the number of days for which G3 RMS forecasts unconstrained demand. It also defines the window for which you can run Group Pricing evaluations. The default Forecast Window is 365 days, but it can be set to a maximum of 730 days. The Forecast Window usually matches the length of the Optimization Window. for at least one room type in each Room Class. Gaps might cause problems for forecast calculations, group pricing evaluations, and decision processing, so revenue might be negatively impacted. Make sure there are no gaps in the rate plans for each Room Class and that the Forecast Window is covered by the Rate Plan setup. Depending on how your Reservation SystemClosed The primary reservation system, like a PMS or CRS, that provides data to G3 RMS. The data from that one system is used by the RMS to forecast, optimize and produce controls. The controls are sent to all selling systems, which for some integrations may exclude the reservation system. integrates with G3 RMS, complete this step either in your reservation system or in G3 RMS.
LDB configuration is incomplete

You need to complete some of the Limited Data Build (LDB) setup, for example, due to a new market segment. Until then, this issue negatively impacts the system's forecasts and decision and can cause the next LDB processes to fail. The Alert:

  • Ignores market segments attributed as Forecast type=None.

  • Stops monitoring when the property has a year of historical data to use for forecasting.

Review the missing configurations in the Alert Details, then follow the links to complete the setup. If needed, contact your IDeaS representative to unlock the setup pages.

Suspend the Alert if you think there's no need to re-run the process. For example, when you expect that the incomplete market segment is too small to impact the forecast.

LDB Configuration is unlocked The Limited Data Build (LDB) setup pages have been unlocked for more than seven days. Complete the setup changes so that IDeaS can run the LDB process with your updates, resulting in the best possible forecasts and decisions.

Tell G3 RMS if you have completed reviewing the setup or not. If you have, notify your IDeaS representative

Lowest Optimization Decision Check Failed All days in the full optimization window are priced at the lowest value. Because this might point to an issue with your pricing setup or with the pricing decisions, G3 RMS stopped processing and didn't upload any decisions.
For the lowest price G3 RMS considers your pricing setup and Floor overrides, but not Specific overrides. And the lowest price includes all lengths of stay if you use BAR by LOS pricing.

Tell G3 RMS if it can ignore the Alert and upload the decisions.

If you believe that your Rate Plan setup is appropriate and the decisions are not, open a case for IDeaS.

Master Class Is Not Defined The Alert warns you that you have not defined any of the Room Classes as the system’s Master ClassClosed The Room Class for which a value displays if there is only space to show one. For example, the price on the Summary tab of the Business Analysis Dashboard.. The impact of not defining a Master Class varies by Reservation SystemClosed The primary reservation system, like a PMS or CRS, that provides data to G3 RMS. The data from that one system is used by the RMS to forecast, optimize and produce controls. The controls are sent to all selling systems, which for some integrations may exclude the reservation system.. For example, if your reservation system does not support different pricing decisions by Room Class, the Master Class establishes pricing decisions for all Room Classes. If no Master Class is defined, no pricing decisions are sent to the reservation system.

Click the How do I action the Alert link to define one of the system's Room Classes as the Master Class.

Missing Market Segment on Reservations G3 RMS has received reservations without a market segment. Without market segment, the system can’t use reservation data. To avoid interrupting the processing, G3 RMS has updated the reservations with your default market segment (listed in the Alert).

Update the reservations with the correct market segment in your PMS or CRS. If reservations are in the past, contact your IDeaS representative so that IDeaS can make the changes.

Note: if the default market segment field is empty, processing has stopped. Update the reservations as soon as possible! And send IDeaS your default market segment, so that processing isn’t interrupted if this scenario occurs again.

New Channel Found in Rate Shopping Data G3 RMS detected a new channel in the rate shopping data file. The new channel needs to be set up in G3 RMS. You need to decide if you want to use it as the default channel for certain days of week. You might also want to update the display name for the channel. Click one of the two links to go to the Channel Settings page. Make changes or keep existing setup. When you click Save, G3 RMS considers the Alert resolved.
New Channel Costs Data Found G3 RMS detected new data for one of the fields that determine the Channel Costs for a booking: Source, Channel, Market Segment, Rate Code, or Room Type. The system can't calculate costs for the new data until you define their cost.

Click the link to go to the Channel Costs. Export the current settings, add the new costs as needed, then save and import the revised file.

When you click the link, G3 RMS considers the Alert resolved.

New Competitive Room Type Found in Rate Shopping Data G3 RMS detected a new Competitive Room Type in the rate shopping data. You must map the new room type to your equivalent Room Class before the system can use the data to improve forecasts and decisions.

Click the How do I action the Alert link to go to Rate Shopping Configuration and map the new room type.

New Competitor Found in Rate Shopping Data

G3 RMS detected a new competitor in the rate shopping data. The system does not consider the new competitor's pricing until you update Rate Shopping setup. If it is a true competitor that impacts the property's demand and pricing, forecasts and decisions may be inaccurate until you set up the competitor.

G3 RMS needs to learn how much the new competitor impacts your demand. Depending on what rate shopping data your vendor provides, the system might not consider the new competitor for 90 days. See Rate Shopping Data Requirements.

Click the How do I action the Alert link to go to the Competitor Settings page and review the new competitor's setup.

Make changes or keep existing setup. When you click Save, G3 RMS considers the Alert resolved.

New Component Room Type Found

This Alert is available only for properties that use the Component Rooms module.

G3 RMS detected a new room type that has a capacity of zero and that has rooms sold. The system needs to know if the room type must be defined as a component room type.

Review the Details about the Alert to see if you need to set up the room type listed as a component room type. If so, set it up in the Select Component Rooms step of Component Rooms setup, then assign it to a Room Class in the Room Class setup. To resolve the Alert, select the checkbox under How do I action the Alert.
No rate available for a competitor

Your rate shopping vendor couldn't get any prices for a competitor for all days of a shopped channel (the data file has the status=N). This could be because the competitor changed names or brands or is in contract negotiations with the channel.

G3 RMS needs competitors’ prices to improve its demand forecast and pricing

  • Follow-up with your rate shopping vendor if you don’t know why no prices are available.

  • Suspend the Alert if you do know and want G3 RMS to stop monitoring this competitor and channel.

After G3 RMS receives prices for the competitor and channel, you won't see the Alert.

Out of Order Rooms Present in Hotel Data

More than 20% of the property's inventory has been out of order for more than seven consecutive days. Out of order rooms reduce the Effective CapacityClosed The hotel's physical capacity minus the out of order rooms. and impact all decisions.

Therefore, G3 RMS needs to know if it can use the data of this period for forecasting the future and if this situation repeats. You share that information by selecting the reason for the out of order rooms. The Alert is a part of the process to manage periods of restricted inventory.

Note

  • G3 RMS checks for this Alert once a week.

  • You might see this Alert for a period shorter than seven days. This occurs if you resolved it yesterday for a period ending yesterday, and then the out of order room block was extended.

Under How do I action the Alert click the link. Review the options and select one:

  • A) Use the data to forecast - seasonal Out of Order rooms
  • B) Use the data to forecast - flexible Out of Order rooms
  • C) Don't use the data to forecast - Out of Order rooms constrain the performance

If you are unsure, review these scenarios. Save your selection to resolve the Alert.

With Option C) G3 RMS removes the period from the data used to forecast normal demand (displays as ignored in Investigator). If this option leaves insufficient data to forecast, G3 RMS asks you to open a case.


If a flag displays in the top right, your saved changes require a Sync.

Rate Shopping Data Did Not Arrive You see this Alert if the last rate shopping data did not arrive according to the frequency defined in the Rate Shopping Schedule tab. You should resolve the issue because G3 RMS needs current rate shopping data for the best possible forecasts and decisions. If no frequency is defined, the system, by default, stops using the rate shopping data when it's older than 30 days.
  • If the schedule is correct, contact the rate shopping vendor and request that they send an updated file to IDeaS.

  • If the schedule is incorrect, update the frequency.

Rate Shopping Data is Corrupt The rate shopping data file is corrupted or could not be loaded. G3 RMS expects the file to arrive in a certain format (for example, with a number value in the rate field). Even a few unreadable characters make the entire file unreadable. Outdated rate shopping data might lead to inaccurate forecasts and decisions. Contact the vendor supplying the rate shopping data and request that they provide a new file that contains all the required information in the proper format.
Review configured BAR values

This Alert applies only if G3 RMS imports the BAR levels and details from your reservation system into Rate Plan setup. It warns you that some values are three times above your highest BAR price sold in the past. This might be due to a data entry error.

Note that the system doesn't check Special Event periods for this Alert, since a much higher price might be justified.

Select one of the actions:

  • Review and update the values.
  • Disable the Alert.
  • Contact support to change the default threshold (three times the highest BAR price sold).
Sufficient Booked Data Available

This Alert means that G3 RMS has received enough Booked room type data from your Reservation SystemClosed The primary reservation system, like a PMS or CRS, that provides data to G3 RMS. The data from that one system is used by the RMS to forecast, optimize and produce controls. The controls are sent to all selling systems, which for some integrations may exclude the reservation system. and can now use it instead of Stayed data. The date tells you when G3 RMS starts using the data in its optimization.

Using the originally Booked Room Type improves the system’s forecast and decisions. See Booked versus Stayed Data for more details.

Under How do I action the Alert, select a checkbox to indicate that you either want to:

  1. Begin using the Booked Room Type data in the forecast on the displayed date. If your system was already sending decisions, selecting this option leaves the system in Decision Delivery ModeClosed A processing status in which G3 RMS is producing forecasts and decisions, and sending them to the selling system.. You will receive a Booked Data Usage Started Alert on the displayed date to notify you that the system is using the data.
  2. Begin using the Booked Room Type data on the listed date, but revert the system to Decision Creation ModeClosed A processing status in which G3 RMS is producing forecasts and decisions, but not sending them to the selling system. so that you can review the revised forecast and decisions. You have the option to start sending decisions again when you receive the Booked Data Usage Started Alert on the displayed date.
System Mode Changed to Decision Delivery If you set a Scheduled Date in Decision Configuration, you receive this Alert on the date that you selected to switch G3 RMS to Decision Delivery Mode. This Alert makes you aware that G3 RMS is now sending decisions to your selling system.

Under How do I action the Alert, select the checkbox after you verify that your selling system are receiving decisions as expected. G3 RMS continues to send decisions regardless of when you act on this Alert.

System Not Up to Date The system is not up-to-date because the Reservation SystemClosed The primary reservation system, like a PMS or CRS, that provides data to G3 RMS. The data from that one system is used by the RMS to forecast, optimize and produce controls. The controls are sent to all selling systems, which for some integrations may exclude the reservation system. data file did not arrive or G3 RMS did not process the data. If the Alert does not say that action has been taken, contact your support team.
Unapproved Forecast Group One or more new Forecast Groups need review and approval. If the Alert is due to changes to existing Forecast Groups, G3 RMS continues using the old Forecast Groups, which might cause inaccurate forecasts and decisions.

Click the How do I action the Alert link to go to the Forecast Groups tab to review the Proposed Forecast Groups and either accept them or make any necessary changes.

Unassigned Function Space Market Segment G3 RMS detected one or more market segments in your sales and catering system that are not mapped to a G3 RMS Function Space market segment. The system needs all market segments mapped for its forecasting and displacement analysis. Click the How do I action the Alert link to go to the Function Space Market Segment setup page and map the market segment.
Unassigned Function Space Room Type G3 RMS detected one or more room types in your sales and catering system that are not mapped to a G3 RMS room type. This mapping allows G3 RMS to align the group block information between the two systems. Click the How do I action the Alert link to go to the Function Space Guest Room Type setup page and map the room type.
Unassigned Market Segment G3 RMS detected one or more unassigned market segments. The system needs attributes for all market segments so that it can place similar ones into the same Forecast Group.

Click the How do I action the Alert link to go to Market Segments setup to assign attributes to the market segment and create Forecast Groups.

Unassigned Rate Code

G3 RMS detected a rate code without attributes. The rate code is either new or it existed already but belonged to a different market segment. Until you assign attributes to the new rate code, the system places all reservations with that rate code in the associated Default Market Segment.

If the Default Market Segment does not have the correct attributes for the new rate code, you need to assign the appropriate attributes. Otherwise, the Default Market Segment might contain business with inconsistent patterns, which can have a negative impact on the system’s ability to produce the best possible forecasts and decisions.

Click the How do I action the Alert link to go to Market Segment setup. That resolves the Alert.

Then follow the steps to set up New Rate Codes. For an overview of all steps, click to review the job aid .

Unassigned Room Type

G3 RMS found new room types that require setup, for example, mapping to a Room Class.

 

Complete all setup steps in the How do I action the Alert section.

Unassigned Zero Capacity Room Type

G3 RMS found new room types that have no rooms attached to them and that require setup.

 

Complete the appropriate setup steps in the How do I action the Alert section.

Unmapped Group Status Codes G3 RMS detected one or more unmapped Group Status Codes from the Reservation SystemClosed The primary reservation system, like a PMS or CRS, that provides data to G3 RMS. The data from that one system is used by the RMS to forecast, optimize and produce controls. The controls are sent to all selling systems, which for some integrations may exclude the reservation system.. G3 RMS needs all Group Status Codes to be mapped to a G3 RMS group type so that it knows how to consider the group block in optimization. Click the How do I action the Alert link to go to the Group Status Codes page and complete the mapping for the new code.
Warnings Received After Decision Upload Your distribution system sent warning messages after G3 RMS uploaded your decisions. For example, the rate code for the pricing decision was not found in the distribution system. These warnings require further investigation and possible action in the distribution system.

Click the How do I action the Alert link to view the vendor name and the vendor warning messages. Review and, where necessary, change the decision-related setup in the vendor's distribution system. For example, you might need to ensure that a rate code is set up correctly.
