Out of Order Component Rooms

Complete the Out of Order Component Rooms setup if G3 RMS can't know if an out of order room impacts the availability of a component room. That applies if one of these scenarios is true:

  • One of your physical room types is mapped to multiple component rooms. When that physical room type is out of order, G3 RMS doesn't know which of the mapped component rooms is impacted.
  • Some, but not all, rooms of a physical room type are used to build a component room. For example, you have 10 KSUITE component rooms which consist of one KING and one DBL room type. You have 20 KING rooms. G3 RMS knows how many rooms are out of order, but not their room numbers, therefore the system doesn't know if any out of order KING rooms impact the KSUITE component room or not.
    But if you have only 10 KING rooms, same number as KSUITE, then G3 RMS knows that any out of order KING means that the same number of KSUITE component rooms are unavailable and you don't need this setup.

Setup Steps

  1. Click and then Component Rooms OOO.
  2. Click the Start Date and End Date to define the period for which you want to set up out of order component rooms:
    • Click the date button to change the date range. A date selector window opens.
    • Click the left or right arrows to navigate between months.
    • Click the double arrows to navigate between years.
    • Click the appropriate date in the calendar. 
  3. If needed, clear the checkbox for any Day of Week for which you do not want to set up out of order component rooms.
  4. Click View.
  5. Complete the following setup:
Column Description
Occupancy Date The dates for the period that you selected.
Day of Week The days of week for the occupancy dates.
System Determined Component Room Types

The number of out of order rooms for component room types that do not share any physical parts.

For these component rooms, G3 RMS determines the out of order value based on what it observes in data. These values may need to be edited if the out of order physical rooms are not used in the component room:

  • To add out of order rooms for all Occupancy Dates and Days of Week, type the number of out of order rooms in the open field beneath the room type. Fields for all Occupancy Dates and Days of Week populate with the value.
  • To add out of order rooms for individual Occupancy Dates, type each value in the appropriate row and room type column.
User Update Component Room Types

Enter the number of out of order rooms for component room types that share physical parts.

Because these component rooms share physical parts, G3 RMS cannot infer that a component room is out of order when one of its physical room types is not available.

  • To add out of order rooms for all Occupancy Dates and Days of Week, type the number of out of order rooms in the open field beneath the room type. Fields for all Occupancy Dates and Days of Week populate with the value.
  • To add out of order rooms for individual Occupancy Dates, type each value in the appropriate row and room type column.
Processed A green field indicates that G3 RMS has considered the value during the most recent processing.
Pending An orange field indicates that G3 RMS has saved the value but not considered it in its optimization. The system will process the value in the next processing.

Best Practices

Understand If You Need to Set up Past Out of Order Component Rooms

If you set up component rooms as part of your initial G3 RMS implementation, set up Out of Order Component Rooms for the historical data available to the system. That ensures that G3 RMS has accurate historical data, which improves its forecasts and decisions. This is particularly important if the historical data includes significant out of order events like renovations.

If you have significant out of order periods in the past, complete this setup before you finalize your Market Segment setup. Otherwise, complete it before you create and commit your Forecast Groups.
