Data Extraction Report

Generate or schedule the Data Extraction Report to export G3 RMS data, for example, to work on the data in Excel. For each day of a set period, select: 

  • The type of data, for example, Number of Arrivals, the Occupancy Forecast, or the Overbooking decision.
  • The data level, like the Occupancy Forecast data at the Property, the Room Class, the Room Type, or all three levels.
  • If you want to compare to past data, for example last year.
  • If you selected competitors' rate shopping data, choose which competitors to include.

Review the steps to run the report or view the descriptions of all columns.

STR Data

If you licensed Smith Travel Research (STR)Closed STR is a global provider of competitive benchmarking, information services and research to the hotel industry. STR reports provide property performance data compared to its competitive aggregate and general market, allowing you to follow trends in occupancy, average daily rate (ADR), revenue per available room (RevPAR). reports for G3 RMS, you can include STR data in the Data Extraction Report. STR data helps you understand how your Occupancy, ADR, and RevPAR compare to your competitors' historical data.

If you select the option to include STR data, your filtered date range can be a maximum of 90 days. This year's and last year's STR data display to compare with your actuals. When you view current or future dates, you see past STR data from the same time last year, adjusted by day of week. If you do not receive STR data or only receive market level data from STR, you see --.

The STR data in the Data Extraction Report is daily STR information, rather than the monthly, summary level data that you see on the At a Glance Summary page.

Reporting Steps

  1. Click , then Reports, and then Data Extraction.
    If you visit this page often, click next to the name to add it to the Quick Access menu.
  2. Click the default Start Date and the End Date to define the monitored period by using one of the following options:
    • Enter a date in the Selection field and click Apply.
    • Select Specific Date from the menu. On the calendar, click the single left or right arrows to navigate between months or the double arrows to navigate between years. Click the appropriate date in the calendar and click Apply.
    •  Use flexible dates by selecting Rolling Date from the menu:
      •  Select the System Date, Start of Month (the first day of the current month), End of Month (the last day of the current month) or End of Year (December 31 of the current year for End Date only).
      • Optionally, choose to offset that date by selecting the option with either - or +. For System Date, the offset is number of days. For Start of Month and End of Month, the offset is the number of months.
      •  Enter the number of days or months to offset the date in the Selection field.
      • Click Apply.
  3. Select the checkboxes for the desired data types and levels.
    • Select a checkbox in the top All Data row to select all data types for that level.
    • Clear the checkbox to deselect all data types.
    • Select data types as they apply to certain levels. For example, Special Event only applies at the Property level.
  4. Select optional data to add to the report:
    • At the Property level, you can select Competitors to include.
    • At the Room Class level, you can select Market Segments to include. For example, use this option to exclude reservations made under House Use or Complimentary market segments.
  5. Select the checkbox of any of the Display Options. The available options vary by property:
    • To compare this year to the actual data from the past, select an option like Show Last Year. The date for past years is adjusted by the day of the week.
    • STR if you licensed STR reports and want to include STR data in the report.
    • Include Account ID if you need to include a unique identifier for your property in your data.
    • Include Discontinued Room Types and Include Discontinued Market Segments to include their historical data.
    • Remove Excluded Segments if you want metrics like Occupancy, ADR, and RevPAR to exclude business from specific market segments. You define such exclusions in Property Information. Using these exclusions might lead to data variations between different levels, see data level differences.
  6. Select to filter the data for an Inventory Group View, if set up. Review Setup Steps for details.
  7. Click Generate. The report downloads as an Excel file. Note that if you select a large date range, G3 RMS emails you the report. This allows you to continue to work in the system.

  8. If you often run the report with the same selections and have the permissions, click to Save that version.

Scheduling the Report

If you have permissions to schedule reports, you see the Schedule button.

Due to the large data volume of this report, you can set up only one schedule per property. You can include up to 13 months of past data and the full Optimization WindowClosed The Optimization Window defines the number of days for which G3 RMS produces decisions and a constrained occupancy forecast. You can view the optimized decisions and occupancy forecast for the Optimization Window, but the system only sends decisions for the Upload Window. The default Optimization Window is 365 days, but it can be set to a maximum of 730 days. It usually matches and can't be longer than the Forecast Window. for future days in the scheduled report.

You can schedule the Data Extraction report with fixed dates, for a range of up to 120 days. You must select future dates.

Data Details

The columns displayed in the report results depend on your data selections. For example, if you select to Show Last Year, a Last Year Actual column also displays next to the This Year column.

Each tab in the exported spreadsheet displays a selected level: Property, Room Class, Room Type, Forecast Group, Market Segment, or Business View.

The report displays the following data:

Column Description
Property Name The property to which the data applies.
Day of Week The day of the week that corresponds to the data.
Occupancy Date The occupancy date that corresponds to the data. For data of past years, the date is adjusted by day of week.
ADR Forecast The ADR that the system expects for the date.
ADR On Books The ADR on books for the date. For past dates, the number refers to actual ADR.
Arrivals The total number of arrivals for the date.
BAR for Room Class The unqualified rate plan name and value for the Room Class, by day or by length of stay. At the Property level, this value is the unqualified rate plan for the Room Class that is defined as the Master Class
Booked Room Revenue

The revenue on books for the occupancy date (This Year). If you selected to show past years, G3 RMS displays actual occupancy.

You can also select to view the Revenue for the same day of a past year, for example, same time last year (STLY). The values for the past years are for the same day of the week (not the same date) and as of the same number of days to arrival.

Budget (or custom name) Occupancy If you set up Budget values, the rooms sold that you budgeted for the property and the occupancy date. Based on your selection in the Budget module, either at the Business Type or Business View level. Budget data does not Remove Excluded Segments.
Budget (or custom name) Room Revenue If you set up Budget values, the room revenue that you budgeted for the property or Property Business View and the occupancy date.
Departures The total number of departures for the date.
Canceled The number of canceled reservations for the date.
Comparison Date Last Year The corresponding date for last year's data, if you selected to Show Last Year Data. The date is not the same since it is adjusted to show the same day of the week as this year.
Competitor Rates The competitor rates for the selected occupancy date.
Forecasted Room Revenue The total amount of room revenue that G3 RMS expects the property to achieve for the occupancy date.
Last Room Value If you select Property, you see the Last Room Value for the Room Class that is defined as the Master Class for the date. If you select Room Class or Room Type, you see the Last Room Value for each Room Class.
My Forecast (or custom name) Revenue If you set up My Forecast values, the total room revenue that you forecasted for the property or Property Business View and the occupancy date. My Forecast data does not Remove Excluded Segments.
My Forecast (or custom name) Occupancy Total If you set up My Forecast values, the total rooms sold that you forecasted for the property or Property Business View and the occupancy date.
No Show The number of reservations that no-showed for the date. For the current or future dates, the value is always zero.
Occupancy Forecast
(Total, Group, or Transient)

The number of rooms that G3 RMS expects the property to achieve for the occupancy date.

Note: G3 RMS does not forecast at the Market Segment level. If you run the report at the Market Segment level, the Occupancy Forecast values are not calculated forecasts. Rather, they are based on the volume of the Market Segment in its Forecast Group. For example, if there are two Market Segments in a Forecast Group with a 70/30 historical volume, the forecast is distributed accordingly from the Forecast Group level.

Occupancy On Books

The number of rooms on books for the selected occupancy date (This Year). If you selected to show Last Year or Two Years Ago, G3 RMS displays actual occupancy.

You can also select to view the Occupancy On Books for the same day of a past year, for example, same time last year (STLY). The values for the past years are for the same day of the week (not the same date) and as of the same number of days to arrival.

For an occupancy date in the past, all values refer to actual occupancy.

Overbooking The overbooking decision for the date.
Physical Capacity The physical or fixed number of rooms available, including Out of Order rooms.
Remaining Capacity The number of rooms left to sell, calculated as Physical Capacity-(Out of Order+On Books).
RevPAR Forecast The RevPARClosed Revenue Per Available Room. The total room revenue divided by the total number of rooms (capacity). For the capacity definition, see the At a Glance - RevPAR topic (under Data Details). that the system expects for the date.
RevPAR On Books

The RevPAR on books for the date. For past dates, the number refers to actual RevPAR.

Rooms N/A - Other The number of unavailable rooms that are not defined as Out of Order, like Manager Held Rooms, at the selected level.
Rooms N/A - Out of Order The number of Out of Order rooms at the selected level.
Rooms Sold (Group or Transient)

The number of group or transient rooms on books for the selected occupancy date (This Year).

You can also select to view the Occupancy On Books for the same day of a past year, for example, same time last year (STLY). The values for past years are for the same day of the week (not the same date) and as of the same number of days to arrival.

For an occupancy date in the past, all three values refer to actual occupancy.

Special Event The names of Special Events and Instance Names, if applicable, that you entered for the date.
STR Comp Set ADR Your competitors' past ADR, from STR data.
STR Comp Set RevPAR Your competitors' past RevPAR, from STR data.
STR Comp Set Occupancy Your competitors' historical occupancy percentage, from STR data.
System Total Demand
(Total, Group, or Transient)
The number of rooms on books plus the system unconstrained remaining demand.
System Wash % The wash percentage for the Forecast Group, as generated by G3 RMS, as of the last optimization. For past days that means the last optimization of the arrival day.
User Constrained Total Demand - Group The number of group rooms on books plus the system constrained remaining group demand or the user constrained remaining group demand if the system value is overridden.
User Projected ADR If the property is using Limited Data Build, the ADR value calculated from the Projected Rooms Sold & Revenue.
User Projected Occupancy If the property is using Limited Data Build, the Projected Rooms Sold value from Projected Rooms Sold & Revenue.
User Projected Revenue If the property is using Limited Data Build, the Projected Room Revenue from Projected Rooms Sold & Revenue.
User Total Demand - Total The number of rooms on books plus the system unconstrained remaining demand or the user unconstrained remaining demand if the system value is overridden.
User Unconstrained Total Demand - Transient The number of transient rooms on books plus the system unconstrained remaining transient demand or the user unconstrained remaining transient demand if the system value is overridden.
User Wash % The system wash percentage for the Forecast Group or the user wash percentage if the system value is overridden. The system wash % is as of the last optimization. For past days that means the last optimization of the arrival day.
Wash % The property level system Wash % for the date, or the User Wash % if the system value is overridden. Wash is the drop in occupancy due to cancellations, no-shows, group cut-offs, and so on. For future dates, it is the expected drop in Peak DemandClosed Peak, or Total Demand, is the combination of the rooms on books and the remaining unconstrained demand.. For past dates, it is the expected wash as of the last optimization. For example, for yesterday the last optimization was at 1 pm when the system expected 4 rooms wash out of 40 rooms on books. Final Wash shows as 10%.

Profit Data Details

If you enabled Profit or Channel Optimization, you can also select Profit metrics:

Data Description
Profit On Books STLY The calculation depends on data that you provide. G3 RMS can consider profitability of guest rooms (based on servicing, channel costs, etc.) and profitability of other revenue streams. For current dates, G3 RMS estimates the profit based on occupancy on books and Occupancy ForecastClosed The number of rooms (or percentage of the total number of rooms) that G3 RMS expects the property to achieve for the period. For the calculation, see the Demand and Wash - Overview topic (under Data Details).. For past dates, the system estimates the profit based on the final number of rooms occupied.
ProPAR Profit per available room. ProPAR equals the profit divided by capacity (based on property's selection, either Physical CapacityClosed The total number of guest rooms at a property, including out of order rooms. or Effective CapacityClosed The hotel's physical capacity minus the out of order rooms., and is comparable to RevPARClosed Revenue Per Available Room. The total room revenue divided by the total number of rooms (capacity). For the capacity definition, see the At a Glance - RevPAR topic (under Data Details)..
ProPOR Profit per occupied room. ProPOR equals the profit divided by the number of occupied rooms and is comparable to ADRClosed Average Daily Rate. Room revenue divided by the number of rooms of occupancy..
