Daily Demand By Attendees

The page shows total enquiries by day and by range of AttendeeClosed Someone who attends a meeting or event at your venue. Also called Delegate. Might refer to a seat paid for by a client regardless of attendance., grouped by month. After you analyse Daily Demand by Status, use Daily Demand By Attendees to understand your most common booking size and demand patterns by booking size. That helps you decide when to split larger divisible function rooms into smaller sections.

Using Daily Demand

  1. On the Trend Analysis menu, select Daily Demand, and click By Attendees.The Daily Demand by Attendees page is displayed.
  2. If necessary, use the Formatting Key to update the definitions of the colour-coded demand levels and of Lost/Cxl and Turn Down business.
  3. Click one or more filter buttons to change how you view the data.See Filters for a list of filters and how to use them.
  4. If you enabled Attendee Groups in Database Setup, select the Show Attendee Groups (Small, Medium & Large) checkbox.
  5. Click a number in the data table to view a detailed Bookings Report on these values.
  6. Click Export to Excel in the Bookings Report window to export this data for review.
  7. Click Close to exit the Bookings Report window.
  8. Click the PDF option to convert and save the current page as a PDF file.

Data Details

Column Description
Event Month The month in which an event occurs. Defaults to January through December of the current year. If you select multiple years in the filter, the table sorts by Event Month first, so all January data appears together, then all February data.

Attendees

Depending on your settings, either the pre-defined ranges of AttendeeClosed Someone who attends a meeting or event at your venue. Also called Delegate. Might refer to a seat paid for by a client regardless of attendance. numbers, based on the maximum number of attendees on a booking, or the Attendee Group size.

Note: If you are viewing data by Attendee Group size, your selection in the Attendee Count filter controls which group sizes display in the report results.

Day

Shows the number of bookings that occur on that day and that match the range displayed in the AttendeesClosed Someone who attends a meeting or event at your venue. Also called Delegate. Might refer to a seat paid for by a client regardless of attendance. column.

Saturdays and Sundays are shaded in grey. A booking that spans multiple days is counted on each of the days. Click any of the values to view the Booking Details.

The Total row at the bottom of each month is colour-coded based on the values in the Formatting Key legend.

Total The sum of all bookings in each attendee category by day and by month. A black triangle indicates that you entered an event for that day. Point to the triangle to see the event name and date range.

Best Practices

Use this page after you analyse Daily Demand by Status.Similar to that report, your goal is to find patterns. What is the most frequent attendee size?Does demand for it vary by day of week?By month or season?Has it changed over time?

The answer helps you set your strategy for divisible(parent) rooms. Those are function rooms that you can divide into smaller spaces or child rooms. For example, your parent room can accommodate 100 attendees, the two child rooms 50. For periods when 50-attendee demand exceeds 100-attendee demand, you might not want to wait for bookings for the parent room.

If you see high demand for events of a size your space does not naturally accommodate, consider your current sales and marketing activity and change it accordingly.
