Scheduling Reports

Scheduling reports saves you time by automatically sending reports to selected recipients or servers, and at your preferred frequency.

To schedule a report, you must:

  • Have the permission - if you do, you see Scheduled Reports when you click , then Reports.
  • Use rolling dates for the report's date range.
  • Select Excel instead of On Screen format.
  • Have replies-disabled@ideas.com as a trusted address, if delivery is via email. Contact your IT team if you are not receiving the emails that you expect.

Scheduling Steps

Scheduling Reports

  1. Click , then Reports, and then the desired report.
  2. Set up the report dates and select Excel as the report format. To schedule any report (except Data Extraction and Operations reports), you must use Rolling Dates. See the specific reports for their date selection details.
  3. Click Schedule. The Setup pane displays.
  4. Enter a Schedule Name and Description.
  5. Select the Language in which the report is delivered.
  6. Start Schedule: Select when the report is sent:
  7. Select daily or weekly Recurrence for how often the report is sent.
  8. For weekly delivery, you can select if the report is sent every week and on which Day of Week. Clear the days that you don't want the report sent, for example on the weekend.
  9. Select how the report will be delivered:
    • Email Delivery: The report is delivered via email to the users that you select.
      • Select the Email Recipients to whom you want the report sent and click > to add them to the recipients list.
      • To search for a user in the list, type their name in the Search Users... field.
    • FTP Delivery or SFTP Delivery (if available): The report is placed on an FTP or SFTP server.
      • Enter the Server Name of the FTP or SFTP server. This may be a text address, such as ftpserver.example.com or a numerical address, such as 255.255.255.255.
      • Enter the Port number, normally 22. If you use a different number, open a case to ensure successful delivery.
      • Enter the Folder Path where G3 RMS places the file. The field automatically contains a forward slash, “/”, so if you leave the rest of the field empty, the data will be saved to the root folder.
      • Enter the User Name and Password as the credential for accessing the server.
  10. Click Save. For SFTP and FTP delivery, G3 RMS checks connectivity. The system notifies you of any issues, using the credentials that you entered.

Editing Scheduled Reports

The Scheduled Reports page lists the reports that are scheduled to be sent to selected users at a determined frequency.

To see scheduled reports:

  1. Click , then Reports, and then Scheduled Reports.
    The following information displays:
Column Description
Name The title that you gave the scheduled report, for example, my weekly override report.
Report The name of the report, for example, Input Override Report.
Scheduled By The name of the user who created the scheduled report
Schedule Start The date and time of the first instance of the report delivery, in the property's time zone. If the Start Schedule date and time are edited, this row shows the first instance of the report delivery using the new schedule.
Deliver After When the report is sent. After BDE (Business Day End, or Nightly Processing), after IDP (Intraday Processing and, if available, after an On-Demand optimization), or both.
Frequency How often the report is sent, per day, hours, or weeks.
Email The email addresses of the users who receive the scheduled report.
FTP/SFTP Details The address of the FTP or SFTP server to which the report is delivered. This only applies if you selected this delivery type instead of email.
Updated By The name of the user who last updated the scheduled report.
Updated On The date and time on which a user last edited the report, displayed in the property's time zone.
Actions

You can edit and delete scheduled reports for your property. This applies only if the role of the user that created them has the same or lower setting in Ranking or Corporate Access.

  • Click Edit to go to the report's setup screen and modify the Scheduled Report settings.
  • Click Delete to remove the scheduled report.
  • Click View to see the parameters set up in the report.
  • Click Send to receive the report immediately.
