Inventory Groups
Use Inventory Groups to view G3 RMS data by groupings of Room Classes. For example, combine several Room Classes with different types of suites into one All Suites Inventory Group, then view its performance data on reports and dashboards, like Business Analysis.
Use the Auto Create button to set up one Inventory Group for each Room Class. That helps you view data at Room Class level wherever property level data is the only option. Define a default Inventory Group in Preferences.
Setup Steps
Auto Create Inventory Groups for Each Room Class
- Click , then External Data, and then Business Views.
- Click the Inventory Groups tab.
- Click Auto Create.
Note: you can use this option only once and only if you have more than one Room Class. - Click Continue. G3 RMS creates one Inventory Group for each Room Class and displays them in the left pane. The system will update the Inventory Group if you change Room Classes.
- If needed, click the arrows to change the Display Order.
This saves you time if you have many Inventory Groups and always select a specific one when viewing data.
Add Other Inventory Groups
If needed, add other Inventory Groups, for example, because you have mixed inventories.
- Enter a group Name.
- Enter an optional Description. It is used only for informational purposes.
- Select the Available Room Classes to be added to the new Inventory Group. Each Room Class can be assigned to multiple Inventory Groups.
- Enter a character string in the Search field to filter the list of available Room Classes.
- Select a single Room Class or press Ctrl+click to select multiple Room Classes.
- Click > to move the selected Room Classes to the Selected Room Classes pane.
- From the Select a Base Room Class menu, select the Room Class whose decision will display on pages where only a single decision is available.
- Click Save.
- To add more Inventory Groups, click the add icon in the left pane.
Change or Delete Inventory Groups
- To edit an Inventory Group, select it in the left pane and make the necessary changes on the right side.
- To delete an Inventory Group, click the delete icon , then click Yes to confirm the deletion.
Best Practices
Select a Base Room Class
For each Inventory Group, you select a Base Room Class. Similar to a Master Class, the decision for the Base Room Class is the one that displays in fields where only a single decision can display. For example, when you filter by an Inventory Group on the Summary tab of the Business Analysis dashboard, the LRV decision that displays in the table is for the Base Room Class of that Inventory Group. For Inventory Groups with more than one Room Class, many clients select the Room Class with the largest inventory.
Don't create a property level Inventory Group
Create Inventory Groups that contain one or more Rooms Classes. You don't need to create an Inventory Group with all Room Classes since Inventory Group filters have a "Property" view option.
Scenarios
Properties with Mixed Inventories
You manage a property with mixed inventory. Examples are residences and non-residences or managing multiple buildings as one G3 RMS property. In those cases you may want to see performance data only for Room Classes that contain one type of inventory. For example, you create one Inventory Group for residences and one for non-residences so that you can see On Books and the Occupancy Forecast only for your non-residence Room Classes.
