At a Glance Dashboard
Use the At a Glance dashboard to decide what periods you need to focus on. For example, what low-demand periods need help, are there any exceptions to the usual demand patterns, or how is this month doing compared to last year or budget.
Which Panel Do You Want to View?
- The Calendar lets you quickly see the low and high demand days for the current and next month.
- In the Summary, quickly compare this month's performance to other periods, like same month last year.
- In the Monthly Booking Pace, review how your occupancy builds and compare that to last year.
- View the daily RevPAR and how that compares with the same day of the week last year.
- View how Occupancy and ADR impacted RevPAR for a deeper analysis.
- In Occupancy and Revenue, view what type of business makes up the daily on books and forecast.
Steps to Access the Dashboard
Accessing the At a Glance Dashboard
Click and then At a Glance.
The At a Glance calendar displays at the top of the page. Scroll down to see the other panels.
If you visit this page often, click next to the name to add it to the Quick Access menu.
Changing the Display
- Click the date button to select the starting month or fiscal period that you want to monitor. The system displays data for two months or fiscal periods. Click the right arrow or left arrow to select a different year.
- Click the open icon in the upper right corner to display the table in full screen view. Close the window to return to the full dashboard.
An Inventory Group filter displays for properties that use the Inventory Groups module.
Select an Inventory Group to see performance data only for the Room Classes in that Inventory Group. The filter applies to all panels in the dashboard. The “Property” option is the default view and includes data at the property level for all Room Classes.
G3 RMS does not calculate some data for a subgroup of the inventory. For example, the Property Overbooking value on the At a Glance Calendar always shows overbooking at the property level. Competitor Price also shows the same, single competitor value as displays at the property level.
Use the calendar to view expected occupancy, Average Daily Rate (ADR Average Daily Rate. Room revenue divided by the number of rooms of occupancy.), and Revenue per Available Room (RevPAR Revenue Per Available Room. The total room revenue divided by the total number of rooms (capacity).
For the capacity definition, see the At a Glance - RevPAR topic (under Data Details).) for a two-month period. Color-coding helps you quickly view an overview of your high and low demand periods and to understand which days require your attention. It also helps you detect day-of-week patterns and exceptions to those patterns.
Viewing Daily Details
- Click a date to display more data in a separate window.
- To view additional data on the other side of the window, click the flip icon in the lower right corner.
- At the bottom of the window click Last Year to view last year's data. Last Year's data shows the comparable values achieved for the same day of the week last year*. Occupancy and revenue values show the difference between current on-books and last year as the Variance, expressed in percentage points.
- Click Decisions to view the decisions for LRV, Overbooking, and BAR at the property level. The following data elements (in alphabetical order) display in the window and its flip side for the selected date. Data elements are for the current or future dates unless noted.
- Click Close to close the windows, or click the flip icon again to close the two side windows and return to the original window.
Calendar Dates
Each date can display four elements. Point to a value to see what it represents:
Data | Description |
---|---|
The day has a scheduled Special Event, which might affect occupancy. Point to the icon to show the event name. | |
Occupancy % | For current or future dates, the occupancy that the property is expected to achieve. For past dates, the actual occupancy that the property achieved. |
ADR | For current or future dates, the ADR that the property is expected to achieve. For past dates, the actual ADR that the property achieved. |
RevPAR |
The RevPAR that the system expects the property to achieve. For past dates, the actual RevPAR that the property achieved. By default, the total number of rooms on which the RevPAR calculation is based is the Physical Capacity, which includes out of order rooms. This default can be switched to Effective Capacity, which does not include out of order rooms. This setting is done at the brand or hotel company level for all its properties and also impacts the calculation for Occupancy Forecast. Contact your IDeaS representative if you want to discuss this option. |
Daily Details
The daily details card shows the following information. All comparisons to last year's data are for the same days of the week, not the same calendar dates. Use the Summary pane to quickly compare key metrics of a full month to other periods, with variances for easy comparison. For example, how the occupancy and On Books of this month compare to at the same time 2 years ago (ST2Y). Or the forecast compared to how that month finished last year. Variances display as a percentage (%) or, for Occupancy %, as percentage points (ppt).
If setup, you see the fiscal calendar instead of months
Displays if you set up Budget and My Forecast values. You can compare your budget and forecast to on books and the system's forecast. The title of these rows differ if you customized the names. The data does not Remove Excluded Segments if you select that checkbox.
If you licensed Smith Travel Research (STR) STR is a global provider of competitive benchmarking, information services and research to the hotel industry. STR reports provide property performance data compared to its competitive aggregate and general market, allowing you to follow trends in occupancy, average daily rate (ADR), revenue per available room (RevPAR). reports for G3 RMS, the summary table shows STR Competitive Set Data. STR data helps you understand how your Occupancy %, ADR, and RevPar compare to your competitors' historical data.
When you view past months or fiscal periods in the Summary table, you see this year's and last year's STR data to compare with your actuals. When you view the current or future months, you see past STR data from the same time last year, adjusted by day of week. If you do not receive STR data or only receive market level data from STR, you see --.
The Summary table uses Comp set data from the Weekly STR report data and calculates the monthly values from the daily STR data. Any slight differences with your Monthly STR report reflect post-month financial adjustments reported to STR by your Comp set and not reported in the daily STR data, including credits, overcharges, and adjustments.
If you enabled Profit or Channel Optimization, you can view Profit metrics:
- Profit: the calculation depends on data that you provide. G3 RMS can consider profitability of guest rooms (based on servicing, channel costs, etc.) and profitability of other revenue streams. For current dates, G3 RMS estimates the profit based on occupancy on books and Occupancy Forecast The number of rooms (or percentage of the total number of rooms) that G3 RMS expects the property to achieve for the period. For the calculation, see the Demand and Wash - Overview topic (under Data Details).. For past dates, the system estimates the profit based on the final number of rooms occupied.
- ProPOR: profit per occupied room. ProPOR equals the profit divided by the number of occupied rooms and is comparable to ADR Average Daily Rate. Room revenue divided by the number of rooms of occupancy..
- ProPAR: profit per available room. ProPAR equals the profit divided by capacity (based on property's selection, either Physical Capacity The total number of guest rooms at a property, including out of order rooms. or Effective Capacity The hotel's physical capacity minus the out of order rooms., and is comparable to RevPAR Revenue Per Available Room. The total room revenue divided by the total number of rooms (capacity). For the capacity definition, see the At a Glance - RevPAR topic (under Data Details)..
Interacting with the Summary Pane
Select the Remove Excluded Segments checkbox if you want the metrics to exclude business from specific market segments. You must define your excluded market segments in Manage Property Information.
The Monthly Booking Pace pane helps you compare the property level pace for a full month or fiscal period to the same period last year. The booking pace curve displays occupancy as the number of rooms sold for 60 days prior to arrival until the last day of that period and how the number of room changes as the day of arrival approaches.
To adjust the monitor period to less than a full month, drill down from the property level, or compare last year's data for the same days of week, use Business Analysis Pace Data.
Interacting with the Monthly Booking Pace
- The two months or fiscal periods selected in the calendar display in tabs. Select the period to review.
- Click a year in the legend to hide the curve for that year. Click the same year again to restore the curve.
Reading the Booking Pace Curve
To read the booking pace curve, follow the booking pace or forecast curve from left to right. On the X axis you can see the curve starts 60 days to arrival, measured from the beginning of the selected period. If today is the first of the month and you selected the full next month to monitor, G3 RMS displays the current year booking pace curve from 60 days to arrival to about 30 days to arrival. At about 30 days to arrival, the curve ends at the black vertical line that indicates the System Date.
The curve reaches zero days to arrival when the System Date is past the start date of the monitored period. The Days to Arrival then shows negative values, meaning the occupancy values contain both actual occupancy (for past days) and on books occupancy (for future days). The number of days to arrival with negative values depends on the length of your monitored period.
The Y axis displays the occupancy expressed in number of rooms. Point to the pace or forecast curve to see the exact occupancy value for the corresponding number of days to arrival.
After monitoring RevPAR, use the Occupancy and ADR chart for a closer look at Average Daily Rate (ADR) in relationship to occupancy. For example, the RevPAR for one day might be much better than last year, and you might want to know in which of the two metrics the change occurred.
Interacting with the Chart
- To view Occupancy % only, click the label for each year in the legend to hide ADR data.
- To view occupancy data, point to a desired date to view the percentage. Past dates show actual ADR and occupancy values for both this year and last year. Current or future dates show forecasted values for this year compared to the actual values for last year.
- To view ADR only, click each Occupancy % label in the legend to hide occupancy data. Point to the desired data points to see the data for that day.
Data Details
The bars in the chart represent daily occupancy percentage values for the current and last year, with the matching value axis displayed on the left side. The occupancy measures up to the property’s capacity. ADR values are shown as line graphs with a matching ADR value axis on the right.
Last year’s values are for the same day of the week, not the same calendar date.
For a visual display of the business mix for the current year, see the Occupancy and Revenue chart.
The Occupancy and Revenue chart shows you how much each type of business contributes to overall occupancy, how the business mix relates to total revenue, and how on-books values compare to their forecast.
If you are using a fiscal calendar, data displays for fiscal periods rather than months.
Interacting with the Chart
- Click the filter icon to select On Books or Forecast data for a specific Property Business View or Corporate Business View.
- Click a label in the legend to view or hide the associated bar or line graph.
- Point to a data point to view specific data:
- Bar charts show on-books or forecasted occupancy %.
- Line graphs show on-books or forecasted revenue.
- Click and drag over the chart to zoom in on a specific period.
- Click Reset zoom to return to the full month view.
Data Details
The bars represent occupancy values, with the value axis on the left side. The top of the chart shows 100% capacity. The left bar shows the occupancy on-books, and the right bar shows the forecasted occupancy. The variance is the forecasted pick-up.
Each occupancy bar is broken down by Property Business Views for single properties or Corporate Business Views for multiple properties.
The total room revenue on the books and total revenue forecasted are represented by line graphs, with the value axis on the right.
Use the RevPAR chart to see RevPAR by occupancy day and how the RevPAR compares with the same day of the week last year (not the same calendar date).
Interacting with the RevPAR Chart
- Hide either this year or last year’s data by clicking on their labels in the legend.
- Point to a date to see the exact values in a window.
- Use the zoom feature to focus on a subset of the data.
Data Details
For past dates, the RevPAR chart shows actual RevPAR for both this year and last year. For current or future dates, the chart shows the forecasted RevPAR for this year compared to the actual RevPAR for last year.
By default, this value uses the Physical Capacity for the total number of rooms, which includes out of order rooms.
To drill down into more details about Occupancy and ADR, use the neighboring Occupancy and ADR chart.
If you have questions about differences in the data between G3 RMS and other systems, review one of the following topics:
Missing Last Year's Booking Pace
This scenario applies if you're in your first year of system implementation, and your reservation system provides incomplete historical data. When that occurs, last year's pace looks like a blue triangle with a straight line from zero days to arrival to the final occupancy for the monitored period. For more information, review Pace Data Missing for Last Year.
