Complete these SmartSpace tasks at the outlined frequency. Follow the links to view the best practices on how to perform the tasks. Here's a printable list, including best practices.
Daily Tasks
- Import data file
- Update Weekly Input tab (Space Utilisation) to ensure correct attendee numbers
- Review Business Pace Pickup since yesterday
- Check Critical Booking Report for new high-value bookings and changes to existing bookings
Weekly Tasks
- Check the Demand Forecast for the next four months and update, if necessary
- Review Conversion Metrics by Arrival Date for current month and key bookings for next two months
- Review Conversion Metrics by Create Date and check progress of bookings from three to four months ago
- Check Business Pace Pickup for past week and look 12 months ahead for long term changes
- Review Critical Booking Report and check action on all bookings
- Compare current business on the books
Revenue for bookings currently held in the Sales and Catering system for future dates. to Budget/Forecast and adjust, if necessary
Monthly Tasks
- Check the Demand Forecast for the next 12 months and update, if necessary.
- Add a new month in the Demand Forecast so that you have at least 12 months in the calendar
- Review Business Pace Pickup for the past month and look 12 months ahead for long term changes
- In Space Utilisation, review daily metrics for past months to analyse performance and to identify patterns
- Filter Conversion Metrics by team member and review for opportunities to improve or recognize performance
- Check competitor pricing and update Competitive Market, if necessary
- Review Year on Year Revenue for large variations in pace, which might indicate changes in demand
Quarterly Tasks
- Review lead time to check for changes in trends
- Review pace pickup patterns for the three most recent months in the past. Check their pick up in the four months before arrival date. Have trends changed?
- Review Demand by Attendees to check for changes in trends and impact on your strategy
- Review pricing strategy and update, if necessary
- Check competitors and update the Competitive Market. Review the Price vs Value chart and identify opportunities or threats
