Data Retention

IDeaS retains SmartSpace data in alignment with your preferences and operational requirements. Unless you specify otherwise, we retain all data that you provide as long as you're our client. If you terminate your IDeaS agreement, we delete your data.

Historical Data

SmartSpace retains:

  • Event Booking Data—IDeaS retains all event-level data (for example, booking headers, statuses, attendees, and revenue) indefinitely during your contract period. This includes both historical and future bookings, typically spanning from 60 days prior to the current date through 730 days into the future.

  • Reporting Data—IDeaS retains summary and transactional data used in reporting views for the full term of your agreement. You can request exports or purging. IDeaS will automatically purge your data if you terminate your agreement.

Configuration Settings

SmartSpace stores the current configuration settings used to generate reports and the dashboard. These include pricing strategies, segmentation, and custom revenue streams. We do not retain historical configurations unless you explicitly request it.

Reporting and Display

SmartSpace generates reports and displays KPI performance based on the data you provide. These outputs are retained for operational use and your reporting:

  • KPI Outputs—Provided using your data. You can view exports from the beginning of upload to the most recent upload date.

  • Reporting—Retained for as long as you subscribe to SmartSpace. You can request that this data be purged at any time.

Data Purging

  • IDeaS only purges data upon your request or contract termination.

  • No automated purging cycle is currently in place for SmartSpace data types.

  • You are responsible for ensuring the accuracy and completeness of data provided for processing.
