User Report

Generate the User report to audit your G3 RMS users and their permissions. You can filter by property or Property Group, by Role, or specific users. The list shows the selected users, their user status, and their last login.

Reporting Steps

  1. Click , then Reports, and thenUser Report.
    The Setup pane displays.
  2. Use the User Association filters in the Properties, Authorization Groups, User Roles, or User Names columns to locate the desired user accounts:
    • Select multiple items in the same filter column to expand your results. For example, if you select Property A and Property B in the Properties filter, your results include all users with access to Property A or Property B.
    • Select items in different filter columns to narrow your results. For example, if you select Property A and Property B in the Properties filter and select Admin in the User Role filter, your results include users with access to Property A or Property B and are assigned to the Admin role.
    • Filter the list of available items in each column by entering a string of characters in the Find field.
    • Select the All checkbox to include all items available in that filter column.
    • Click an item in the filter column to find user results only for that item. Press Ctrl + click on multiple items to filter for users that apply to each selected item.
  3. Select the users' Status:
    • Any: The results display all Active and Inactive users who meet the selection criteria defined in the filters.
    • Inactive: The results display all users who have been deactivated and who also meet the selection criteria defined in the filters. Inactive users cannot sign in to G3 RMS.
    • Active: The results display all users with a status of Active who also meet the selection criteria defined in the filters.
  4. Select a Report Format:
    • On Screen: The results display in the lower pane. Click the export icon to export the displayed results to a spreadsheet.
    • Excel: The results export to an Excel spreadsheet. If you select this option after results are displayed on the page, the page clears, and the exported spreadsheet reflects your current filter selections.
  5. Click Generate.

Viewing User Details

The User Details window provides additional details about the user in an Authorization Group or an individual property view. If you export your results to an Excel spreadsheet, user details are also included in the exported data.

  1. Click the magnifying glass icon to display more details about the user.
  2. Choose how you want to view the user data:
    • Select Authorization Group to view the Authorization Group to which the user is assigned.
    • Select Individual Properties to view the individual properties to which the user has access.

Data Details

Report Data

The report displays the following information:

Column Description
Last Name The user's last name, as defined in the user's account.
First Name The user's first name, as defined in the user's account.
Email The user's email address that is used for login.
Creation Date The date and time that the user's account was created, recorded in the property's time zone.
Last Login The date and time that the user last signed in to G3 RMS, recorded in the property's time zone.
Details Click the magnifying glass icon to display more details about the user.

User Details

Column Description
Role The title of the user's Authorization Group role.
Property Name The names of properties that are part of the user's Authorization Group or the individual properties to which the user has access, depending on how you view the data. If the user does not have access to individual properties, NO DATA FOUND displays. Filter the list of properties by entering a string of characters from the property name in the filter field.
Last Accessed The date and time that the user last accessed the property, recorded in the property's time zone. If the user has not accessed the property, hyphens "--" display.
