Mass Restriction Configuration
Use the Mass Restriction Setup option to set up, change or review your Restriction Setup using an Excel workbook. See Restriction Setup to learn about Restriction Setup and understand if you need to use it.
Use Mass Restriction Setup to set up restrictions for the first time, or to change or add rate plans. Start by exporting a pre-formatted workbook from your property in G3 RMS. Enter your rate plans and rate details or modify rate details in the workbook, then import it back into G3 RMS to populate or change your Restriction Setup. This tool will only add or amend rate plans and seasons that you update in the uploaded worksheet. All other rate plans or seasons in the system will remain unchanged.
Even if you choose to set up your rate plans directly in Restriction Setup without this option, you can still use the export function to review your setup, particularly if you have many rate plans and seasons.
The Mass Restriction Setup option is available only at the individual property level.
Advantages of Using Mass Restriction Setup
Mass Restriction Setup provides several features that are not available when setting up directly in Restriction Setup:
- View and interact with a large number of rate plans across a range of dates in one worksheet
- Take advantage of Excel features like filters, formulas and copying values, to reduce setup time
- Highlight and send proposed changes to others for approval before committing changes
Setup Steps
- Click , then Decisions, and then Mass Restrictions.
- In the Export pane, select a workbook option:
- Select Blank to set up new rate plans. The worksheet will populate with the Property Name, Room Class and Room Types but will not include any other rate plan details.
- Select All to download and modify all of your existing rate plans (up to 10,000 rows). The worksheet will populate with the existing rate plan setup.
- Select Filter to download a subset of your existing setup. For example, you want to change the rates for one rate plan and one season. Select any combination of the following filters:
- Select a Start Date and an End Date to find rate plans that are set up for the specified date range.
- Select the Derived, Yieldable or Non-Yieldable checkbox to download a subset of existing rate plans. See Worksheet Data above for definitions of these rate plan characteristics.
- By default, G3 RMS selects all rate plans for download. Remove any rate plans from the Rate Plans Selected list that you do not want to edit. Press Ctrl+click to select the ones to remove, and click < to remove them.
- Click Export.
- Save the file to a location on your computer.
- Complete the Restriction Configuration worksheet. Be sure to follow the instructions and example provided in the "Instructions" worksheet and the guidelines listed above.
- Save the modified workbook.
- In the Import pane, click Choose File.
- Navigate to and select the saved workbook.
- Click Open.
- Click Import.
The Import pane displays the import status and last import date.
Worksheet Validation
G3 RMS runs a validation process on the workbook as it is imported to check for data and formatting errors. If you have thousands of rows, this process may take several minutes.
If the workbook is valid, the data imports and is available to view in Restrictions Setup.
If the import process fails, no data imports. You can re-import the workbook after correcting the errors shown in the error message. The error message identifies the row numbers where errors occurred. Click the export icon to export the error list.
Review the best practices listed below or the "Instructions" worksheet in the file for assistance with correcting errors.
Best Practices
Follow the Best Practices for Restriction Setup
The same considerations apply for setting up rate plans when using the exported workbook as when you complete the process within the system. We recommend that you review the Best Practices for Setting Up Restrictions, regardless of the setup method that you choose.
Do Not Change the Template Format
- The first row of the file must contain the header names exactly as they appear when you export the workbook. Do not change this content.
- Do not change cell formatting.
- Do not change the order of the columns or remove columns.
- Do not change the name of the Restriction Setup worksheet tab.
- The Property ID must be present on every row containing rate plan data.
- The second column (B) contains the Property Name for the property from which you exported the workbook. Do not edit this information.
- The first column (A) contains the Property ID for the property from which you exported the workbook. Do not edit this information.
- The file type must remain .xlsx.
- Do not add blank rows in the worksheet. G3 RMS considers a blank row to be the end of the data.
- You can add additional worksheets for your data and calculations at the end of the workbook. G3 RMS will ignore worksheets that you create, so you do not need to remove them before you import your data.
- G3 RMS reads all data below the yellow highlighted column headers when you import the data. Do not add extra data or calculations in these columns.
- You can add new columns on the right side of the worksheet columns. G3 RMS ignores them when you import your data.
Add Correct Data
- Use the drop-down menus to choose valid settings.
- Date fields must contain dates entered in "DD-MMM-YYYY" format, for example, "25-Jun-2020."
- You cannot have duplicate records (no duplicate rate plans or room types within a season for a specific day of week).
- You can't enter zero when you use fixed values.
- Modifying the Plan Start Date and Plan End Date will affect any decisions that have already been produced for dates prior to the new start date and dates after the new End Date. New decisions will not be produced for these periods until the next optimization.
- In the worksheet, new seasons within the same rate plan cannot have overlapping start and end dates.
- If you add a new season with dates that overlap a season existing in the system, G3 RMS adjusts the dates of the existing season to accommodate the new season, following these rules:
- When the new season falls within the date range of an existing season, the existing season is split into two seasons, with the new season falling in the middle and date ranges adjusted accordingly. The rates by room type for the split season are maintained.
- When you set a start date for a new season to include dates at the end of an existing season, the existing season is adjusted to end on the date prior to the start date of the new season.
- When a new season includes all the dates of an existing season, the new season replaces the existing season.
- Seasons that only have past dates cannot be changed.
- You cannot change the start date for a rate plan to be before the current System Date.
- Seasons must fall within the dates of their rate plan.
- You cannot delete rate plans using this worksheet. If you delete rows, the removed rate plans will not change in the system. You can delete the rows in the worksheet for any rate plans that you do not wish to edit.
- Any rate plans updated using this tool will be marked as "Ignore PMS/CRS Updates." If your primary inbound integration provides rate plan updates to G3 RMS, your rate plan setups will not be overwritten. You will manage all restriction setup within G3 RMS only.
