Business Insights

Use the Business Insights dashboard to analyze transactional, or reservation-level, data from your Reservation SystemClosed The primary reservation system, like a PMS or CRS, that provides data to G3 RMS. The data from that one system is used by the RMS to forecast, optimize and produce controls. The controls are sent to all selling systems, which for some integrations may exclude the reservation system. and, if enabled, from Channel Costs setup. You can use display options to view the data from multiple perspectives. You can also compare data for a selected date range to the equivalent date range from last year (adjusted by the day of week) to understand year-on-year trends.

The availability of the Business Insights Dashboard depends on your G3 RMS subscription.

Viewing Transactional Details

When you click a data point in the Business Insights chart view, a new window opens. This window displays a table of the available details for the transactions that contributed to the selected data point. The same information displays when you select a data point from last year's data or for future dates. Because all reservation details are not always available from your reservation system, some data columns might be missing information.

Using Channel Costs with Business Insights

If you enable Channel Costs setup, the Business Insights dashboard includes additional values that help you understand the overall cost of acquiring business through your sources or channels and how those costs impact other key performance indicators. For example, you can review Total Acquisition Costs, Net Revenue, Net ADR, and Net RevPARClosed Revenue Per Available Room. The total room revenue divided by the total number of rooms (capacity). For the capacity definition, see the At a Glance - RevPAR topic (under Data Details)., and compare them to last year.

"Net" values are only available to select in the dashboard when you enable Channel Costs. The "Net" values represent ADR, RevPAR, and Room Revenue values after accounting for the Channel Costs that you set up. Channel Costs also control the results for Total Acquisition Costs.

When you change your Channel Cost setup, the values in the Business Insights dashboard update immediately.

Channel Costs are only used for reporting purposes and do not impact the forecast and decisions.

Reporting Steps

  1. Click and then Business Insights.
  2. Click the Start Date and End Date fields to select a date range for the report.
    1. Click the default date.
    2. Complete one of the following options:
      • Enter a date in the Selection field.
      • Select Specific Date from the menu. On the calendar, click the left or right arrows to navigate between months; click the double arrows to navigate between years. Click the appropriate date in the calendar.
      • Select Rolling Date from the menu. Enter the number of days to offset the System Date in the Selection: System Date - field.
    3. Click Apply
  3. Select Filters to narrow down the displayed data. For example, you are viewing Arrivals versus Arrivals Last Year but want to see only those for a specific Room Class, select Room Class as a filter and select a Room Class from the list that displays. Press Ctrl + click to select multiple values. Multiple selections display as aggregate data.
  4. Select a measurement option for the X Axis. If you select Days to Arrival, enter the number of days, up to 365.
  5. Select Use As of Date if you want to see data as of a specific booking date. Then select the date, using the same date selection method that you used to define the analysis period. This option is not available when you select Days to Arrival for the X axis.
  6. Select Values from transactional data to display:
    • Press Ctrl + click to select multiple values.
    • Select a value and its equivalent for last year to compare year-on-year trends (for example, Arrivals compared to Arrivals Last Year).
    • Note that Effective Capacity and RevPAR values are valid only if Occupancy Date, Day of Week or Room Class is selected for the X Axis. If not, the Effective Capacity and RevPAR display as zero.
    • Net values, for example Net Average Daily Rate, consider your Channel Costs. If you haven't defined those costs, the values equal their base values, for example Average Daily Rate.
  7. Click Generate.

Interacting with Business Insights

Use the following features in the tool to adjust the display:

  • Click Table to view the data in a tabular view.
  • Click the Excel icon in the tabular view to export the data.
  • Click Charts to return to the chart view.
  • In chart view:
    • Select Bar Chart, Column Chart, or Line Chart from the list on the top right. The display changes according to your selection.
    • Click a value in the legend to remove that value from the display. Click the value again to restore it.
    • Point to a data point on a bar, column, or line in the chart to view the values in a separate window.
    • Click a data point to open a table of the transactional data that contributed to the value. See Data in Business Insights below for information about this data.
    • If you are viewing data by Occupancy Date, click and drag your mouse across a date range in the chart to zoom in on those dates. Click Reset zoom to restore the view.
  • Click a data point in the chart view to open the transactional details window.
  • Adjust your view:
    • Click a column heading within the details view to sort data by that column.
    • Click the icon on the right side of the headings row. Click a column heading title to hide it from the display. Click the title again to restore it.

Data Details

Group Block Data

Transactional data does not include group block information because group blocks do not include actual reservations. Therefore, to include group data for Occupancy on Books for future dates, G3 RMS adjusts the future occupancy using the difference between the size of the group block and the group pick up.

G3 RMS adds representative transactions for those reservations that are still held in the block to make sure that occupancy data is correctly recorded. These representative transactions are "pseudo" reservations that exist only as placeholders until the block is picked up and are always for a one-night LOS.

Because the group blocks do not contain actual reservations, data columns for the fields specific to a reservation, like the room type, might be missing information. Although they also have a blank channel or source field, these reservations are not included in acquisition costs if you have set up “Not Available” costs in Channel Costs setup.

Capacity Data

Transactional data also does not include Effective CapacityClosed The hotel's physical capacity minus the out of order rooms. information, but the property's effective capacity displays when you select Occupancy Date, Day of Week or Market Segment for the X Axis. To display effective capacity values, rows are added to Transaction Details that include only Room Type, Room Class, and Effective Capacity data. Other fields are blank.

Transactional Data

View the following data by clicking a data point in the chart view to open the transactional details window.

Column Description
Reservation ID

The confirmation number from the reservation system that provides data to G3 RMS, which can be your CRS or PMS. For example, if your CRS is the system that integrates with G3 RMS, then the Reservation ID column shows the number from the CRS, and the Confirmation No. column shows the PMS number.

Individual Status The status of the transaction. These depend on your reservation system, for example, SS indicates Stayed, XX indicates Canceled, NS indicates No-Show, and CO means Checked Out.
Arrival Date The reservation's arrival date.
Departure Date The reservation's departure date.
Booking Date The date that the guest booked the room. The date might be derived from the date and time of the reservation record or be provided by the reservation system.
Cancellation Date The date that the reservation was canceled.
Arrivals 0 means that the reservation didn't arrive on the selected date; 1 means that it did.
Departures 0 means that the reservation didn't depart on the selected date; 1 means that it did.
Cancellations 0 means that the reservation didn't cancel or no-show on the selected date; 1 means that it did.
Booked Room Type The Room Type that was initially booked for the reservation. This value differs from the Room Type column value if the reservation was upgraded to another room type. Knowing the difference between the booked and the stayed room type helps G3 RMS understand demand by Room Class. For example, when a guest books a Standard room type and, at check-in, gets a free upgrade to a Suite, then G3 RMS understands that this demand represents Standard and not Suite demand. Market Segment The reservation's market segment.
Source Booking The source of the reservation, for example, Guest Direct or Expedia, if yourreservation system provides that data.
Nationality The guest's nationality.
LOS The length of stay for the reservation.
Room Class The Room Class to which you have assigned the reservation's room type.
Room Type The Room Type in which the reservation stayed, which could be different from the booked room type that is displayed in the Booked Room Type column. Knowing the difference between the booked and the stayed room type helps G3 RMS understand demand by Room Class. For example, when a guest books a Standard room type and, at check-in, gets a free upgrade to a Suite, then G3 RMS understands that this demand represents Standard and not Suite demand. Rate Code The reservation's Rate Code.
Rate Value The actual rate charged to the guest for the reservation. The Rate Value field is blank if the reservation was canceled or if the selected Occupancy Date is the same as the Departure Date.
Room Number The room number assigned to the reservation.
Room Revenue The room revenue earned from the reservation.
Total Revenue The sum of room revenue, food revenue, and other revenue. If your reservation system does not send other revenue, the Total Revenue will equal the Room Revenue.
Occupancy On Books The number of rooms sold for the reservation.
Booking Type The reservation guarantee code, if your reservation system provides such a value, for example, “6PM”, or "GTD.”
Number Adults The number of adults included in the reservation.
Number Children The number of children included in the reservation.
Create Date The date when G3 RMS created or updated the reservation record.
Confirmation Number A secondary confirmation number, if applicable, that differs from the Reservation ID. For example, if your CRS is the reservation system that integrates with G3 RMS, then the Reservation ID column shows the number from the CRS, and the Confirmation No. column shows the PMS number.
Channel The Channel through which the booking was made, for example, Email or Rooming List, if your reservation system provides that data.
Effective Capacity The property's physical capacity minus Out of Order rooms. You only see Effective Capacity values if you select Occupancy Date, Day of Week, or Room Class for the X Axis. Otherwise, the value is zero.
Room Revenue Acquisition Costs The cost of acquiring the reservation, calculated as the Rate Value × Percentage Cost defined in Channel Costs.
Total Acquisition Costs The total cost of acquiring the reservation, based on your Channel Costs setup. It's calculated as the sum of Fixed Costs + (Percentage Costs × Rate Value)
Net Room Revenue The room revenue earned from the reservation, after considering the cost of acquiring the reservation. Net Room Revenue = Room Revenue - Total Acquisition Cost
Net Rate Value The Rate Value of the reservation, after considering the cost of acquiring the reservation. Net Rate Value = Rate Value - Total Acquisition Cost.
