Function Space Event Types

Defining the out of service Event Types improves the utilization metrics and helps you make better decisions. This is how: 

  • G3 RMS imports the Event Types, like Reception, Dinner, or Breakout, from your sales and catering system.

  • On that list, you check every Event Type used for blocking function rooms that are not available for sale for a longer time, for example, when it's Out of Order due to a renovation. See Best Practices for more information.

  • G3 RMS removes those checked Event Types from available Function Space and when it calculates On Books and Forecasted Utilization.

  • When you view utilization metrics, for example, on the Dashboard, you know they represent true function space bookings.

Setup Steps

  1. Click and then Configuration.
  2. Click Event Types.
  3. Select the Out of Service checkbox for the event type(s) for which G3 RMS should consider function rooms as unavailable and exclude them from available space calculations.
  4. Click Save.
    Note: After you save a change, you have to wait until the next optimization finishes before running an evaluation.

Best Practices

Check Only Event Types Dedicated to Out of Service

Only check Event Types that you use exclusively for out of service purposes. If you have no such Event Type, check none. We recommend that you create an out of service Event Type in your sales and catering system and start using it, so that you have better function space metrics in the future.

Use Feature to Manage Seasonal Spaces

You can use this feature to manage seasonal spaces, for example, an outdoor area only used during the warmer months. In your sales and catering system, block such a seasonal function room and use an Event Type that you checked as Out of Service in G3 RMS.
